Maesgwynne Mansion Cottages – Terms and Conditions


1. Agreement
Booking a holiday cottage with Maesgwynne Mansion Cottages constitutes a legally binding agreement for the hire of the property for a specified period, governed by these Terms and Conditions (“Hiring Conditions”). By signing the booking form, you confirm that you understand and accept these conditions.
2. Hiring Agreement
The agreement is between you (“the Hirer”) and R.E. Churchill on behalf of the partnership trading as Maesgwynne Mansion Cottages.
3. Booking and Deposit
To confirm your booking, a 10% non-refundable deposit is required at the time of reservation. The remaining balance is due six (6) weeks prior to the arrival date. Bookings made within six weeks of arrival must be paid in full at the time of booking.
For bookings made via telephone or email, the completed booking form and deposit must be returned within seven (7) days. Failure to do so may result in the property being made available to others.
4. Bookings
a) The person signing the booking form certifies that they have the authority and consent to bind all occupants (including any added later). The signatory must be 18 years of age or older. Bookings from individuals under 18 will not be accepted.
b) The signatory is personally responsible for the full cost of the booking.
5. Payment
a) The remaining balance is due six (6) weeks prior to the start of your stay.
b) We strongly recommend taking out comprehensive travel insurance to cover unexpected cancellations, illness, or travel disruptions.
6. Cancellation by the Guest
If you need to cancel your booking, please notify us in writing as soon as possible. The following cancellation charges apply:
•    More than 60 days before arrival: Full refund of any payments made, minus the non-refundable deposit.
•    30 to 59 days before arrival: 50% refund of the total booking cost.
•    15 to 29 days before arrival: 25% refund of the total booking cost.
•    14 days or fewer before arrival: No refund will be given.
Maesgwynne Mansion Cottages will make every reasonable effort to re-let the property. If successful, a partial refund may be considered at the owner’s discretion.

7. Changes or Cancellations by the Owner
In the unlikely event that we must cancel your booking due to unforeseen circumstances (e.g., damage to the property, essential repairs), we will:
•    Notify you as soon as possible, and
•    Offer either:
o    A full refund, or
o    Assistance in finding suitable alternative accommodation, if available.

8. Force Majeure
We cannot accept liability or offer refunds for cancellations or disruptions due to events beyond our control, including but not limited to:
•    Natural disasters
•    Pandemics or public health emergencies
•    Government restrictions or regulations
•    Extreme weather or utility outages
In such cases, we may offer to reschedule your booking to alternative dates, subject to availability. We encourage all guests to take out appropriate travel insurance.

9. Owner’s Obligations
a) To provide the holiday property in a reasonable state of repair, furnished and equipped to a satisfactory standard.
b) To respond to and rectify any issues reported during the stay as promptly as possible.
10. Hirer’s Obligations
a) Leave the property in a clean and tidy condition, especially the kitchen, utensils, and bathroom.
b) Pay for any damages or breakages to the property or contents before departure.
c) Allow the owner or representative access for inspection or repair.
d) Not sublet the property or allow unregistered guests to stay.
e) Not exceed the maximum occupancy stated in the booking form. Breach of this or clause 10c may result in immediate termination without refund.
f) Please strip all used beds (excluding mattress and pillow protectors) before departure and place linens in the provided green bag.

11. Pets
a) Domestic pets are welcome if declared in advance and well-behaved. A maximum of three (3) pets is allowed unless otherwise agreed in writing.
b) Pets must not be left alone in the property and must not go on beds or soft furnishings (unless covered with a provided throw). Please bring your own pet bedding.
c) The owner reserves the right to terminate the hire if there are inaccuracies in the pet declaration or breaches of these conditions. Damages caused by pets are chargeable under clause 10b.

12. Property Unavailability
If the booked property becomes unavailable for hire due to events beyond the owner’s control, all payments made will be refunded in full. Alternatively, the Hirer may accept accommodation in another property on site, if available. No further claims will be entertained.

13. Electric Vehicle (EV) Charging Policy
Charging EVs from the cottage's electrical outlets is strictly prohibited. For safety and convenience, an on-site VoltShare EV charging station is provided.
Unauthorised charging may result in additional charges or penalties.

14. Additional Information
•    Smoking is strictly prohibited in all cottages.
•    Check-in time: 4:00 PM on the day of arrival.
•    Check-out time: 9:30 AM on the day of departure.

VoltShare EV Charger – Terms and Conditions
1. Introduction
These terms govern use of the VoltShare EV charger located at Maesgwynne Mansion Cottages, Llanboidy. By using the charger, guests agree to comply with these conditions.
2. Usage
Charging is subject to availability and may be limited to ensure equitable access for all guests.
3. Charging Fees
•    Charging is billed at £0.52 per kWh.
•    All payments must be made via the VoltShare app.
4. Responsibility
a) Guests are responsible for ensuring compatibility between their vehicle and the charging station.
b) Guests are liable for any damage caused by improper use or negligence.
5. Availability
a) The charger operates on a first-come, first-served basis. Reservations are not permitted.
b) In the event of a fault or outage, Maesgwynne Mansion Cottages will make reasonable efforts to resolve the issue but cannot guarantee uninterrupted service.
6. Liability
a) The owners accept no liability for damages or losses resulting from use of the EV charger.
b) Users are encouraged to confirm that their insurance policy covers such use.
7. Compliance
a) Users must comply with all relevant laws and safety regulations while using the charger.
b) Failure to comply may result in revoked access to the charger.
8. Amendments
Maesgwynne Mansion Cottages reserves the right to amend these terms at any time.
